JT Engineering, Inc. (JT) is seeking a full-time, highly motivated, dependable professional to join our Madison Area office as a Project Controls Coordinator.

The Project Controls Coordinator will work with various stakeholders to manage, integrate, coordinate, and review project-related tasks. They will assist with implementing, reconciliation, and upkeep of project records.

Required Qualifications

  • Degree in Accounting, Engineering, or Business Administration or equivalent experience
  • 1+ years of relevant experience
  • Valid driver’s license and use of a personal vehicle for travel between office and meetings 
  • Physically able to perform work; requires long hours of sitting
  • Legally authorized to work permanently (i.e., without time limitations, without restrictions, or without need for work sponsorship) in the country where this position is located 

Preferred Qualifications

  • Excellent organizational skills
  • Excellent verbal and written communication skills
  • Ability to work with a team of several people cooperatively
  • Proficiency in Microsoft Office (Word, Excel primarily) and MS Project and MS Teams
  • Knowledge of principles and practices of budget preparation, monitoring, and controlling
  • Familiarity with project management tools and applications
  • Federal/State contracting is a plus
  • Ability to concentrate on complex problems for extended periods of time 

Position Responsibilities

  • The Project Controls Assistant is responsible for providing support to the project teams, departments, and accounting team
  • Tasks will include assistance with project schedule updates, resource scheduling, budget management, contract management, and invoicing
  • Project Scheduling and updates to project schedules (milestone and critical path schedules)
  • Weekly project budget reports and forecasts
  • Resource Scheduling across all project teams/departments
  • Assistance with contract management for scope/amendment adjustments
  • Entry of projects into Project Management/Accounting System
  • Processing of Contracts
  • Scheduling weekly departmental team meetings to discuss projects, task progress, and other pertinent matters
  • Coordination between project managers and business development for proposals and contract updates
  • Task tracking on key projects
  • Drafting of invoices for review
  • Produce quality results in an efficient and cost-effective manner
  • Represent JT professionally and ethically while performing daily tasks
  • Establish and maintain effective working relationships with co-workers, supervisors, and the general public
  • Adhere to company policies, regulations, procedures, and principles
